New Maintenance Features for Managing Heavy Equipment

We’ve added new yellow iron specific Service Tasks, Service Program templates, and OEM telematics integrations to help improve how you manage and maintain your off-highway assets in your account.

New Heavy Equipment OEM Telematics Integrations 

Fleetio now integrates with Caterpillar VisionLink™ and John Deere Operations Center™ to automatically sync telematics and equipment health data into your account. 

By consolidating telematics and historical maintenance data in your main operating system, you’ll gain better oversight into machine performance across job sites and ensure your field teams have the information they need to handle service and reduce downtime to keep projects on schedule. 

These integrations offer: 

  • Automated maintenance planning: Proactively manage equipment maintenance and control downtime by triggering service reminders based on daily engine hour readings. 
  • Remote equipment diagnostics: Capture engine fault codes and sensor readings from each piece of equipment to catch safety-related issues before they happen.
  • Equipment usage reports: Track equipment location across job sites, compare engine hours, and manage equipment availability to ensure you have the machines needed for assignment. 

New Service Program Templates and Service Tasks

To make managing maintenance and keeping your equipment operating at peak performance across job sites easier, we’ve added ten new pre-built Service Program templates for various wheeled and tracked asset types based on OEM-recommended maintenance intervals and tasks. 

The following Service Program templates are now available to use in your account:

  • Backhoe Loader Basic Maintenance 
  • Dozer Basic Maintenance
  • Excavator Basic Maintenance 
  • Motor Grader Basic Maintenance 
  • Off-highway Truck Basic Maintenance 
  • Skid-Steer Basic Maintenance
  • Telehandler Basic Maintenance 
  • Track Loader Basic Maintenance
  • Wheel Loader Basic Maintenance 
  • Wheel Tractor Scraper Basic Maintenance

Service Program templates and Service Tasks are included in all plans. The Caterpillar VisionLink™ and John Deere Operations Center™ integrations are available on plans that include Native Telematics integrations: Essential, Professional, Premium, Pro (Legacy), and Advanced (Legacy).

Vehicle Custom Fields for Vehicle Record Sets

You can now use vehicle custom fields with conditions on vehicle record sets to control what users see in the application. This ensures that users do not see irrelevant information and helps keep information secure. 

Note: This is only for vehicle record sets and is specific to vehicle custom fields that are either a dropdown or checkbox data type.

This is available to all plans.

Vehicles to Assets Name Change on Web and Mobile

You can now switch the term Vehicles to Assets in Fleetio on Fleetio's web AND mobile app to better represent the makeup of your fleet.

If you're an Account Admin or Owner, you can make the update by navigating to Settings > Administration > General Settings and setting the Vehicle System Label to your preferred system label.

Updating the Vehicle System Label to Assets will change the name of vehicle fields, reports, and menu items from Vehicle to Asset in Fleetio's web and mobile app.

Notification Inbox Improvements

We have reimagined the Notification Inbox on mobile as part of a broader notification revamp to improve usability and enhance how drivers and technicians engage with their daily tasks. The notification inbox will now provide clear direction and enhance users' workflows, allowing employees to focus on what's most important. 

Here are the following new features/enhancements: 

  1. Unread Notifications Bolded:

    Unread notifications are now bolded, allowing users to easily identify which notifications require immediate attention.

  2. Recency-Based Categorization:

    Notifications are organized by recency with section headers, enabling users to focus on the most urgent or important tasks.

  3. Direct Links to Relevant Screens:

    Each notification now includes a direct link to the respective screen, allowing users to take action seamlessly.

  4. Improved Notification Configuration:

    Easier access to notification settings will give users more control over their notification preferences.

  5. Filter by Comments, Mentions, and Archives:

    Users can filter notifications based on comments, mentions, and archived notifications. (Note: Full category filtering will be available in future versions.)

  6. Comment Notifications with Previews:

    Comment-based notifications now feature a preview of the comment content with an easy-to-use entry point to reply.

This overhaul turns the notification inbox into a more efficient and action-oriented experience, leading users to the next step.

Maintenance Shop Network Add-In Now Available with Geotab

There is now an available Add-In in Geotab for Fleetio’s Maintenance Shop Network. With this Add-In, Geotab customers can overlay Fleetio's Maintenance Shop Network directly inside your myGeotab account and locate available shops near your drivers directly on your myGeotab Map.

With this Add-In enabled, you can access a map and list view of the Top 50 Maintenance Shop Network shops near your drivers and help coordinate servicing to prevent downtime for your vehicles and drivers. 

This feature is only available for Geotab customers and is included in Professional, Premium, Pro (Legacy), and Advanced (Legacy) Fleetio plans.

New Integration with Wialon

Wialon by Gurtam now integrates with Fleetio to sync daily telematics and fuel data directly in your account. This integration connects live vehicle data from your Wialon devices with your maintenance tools in Fleetio, making it easier for you to keep your vehicles running smoothly, prevent breakdowns, and track fuel and maintenance costs in one place.

The Wialon integration helps: 

  • Automate data tracking: Control the frequency of vehicle data flowing directly from Wialon to Fleetio to reduce manual entry, eliminating the need to switch between multiple platforms.
  • Control maintenance planning: Leverage Wialon's diagnostic data inside Fleetio to power your maintenance scheduling, ensuring service records are always up-to-date.
  • Improve operating goals: Use Wialon telematics and fuel data to power Fleetio reports needed to make necessary maintenance decisions, control operating expenses, and find opportunities to fully utilize each asset.

Export to an XLSX File

You now have the ability to export all indexes to an XLSX file. This allows you to: 

  1. Choose between exporting your data to an XLSX file or a CSV file. 
  2. Have greater flexibility in choosing how you want to export your data. 

Newer reports can also be exported as XLSX files. These include: 

  1. Contacts Reports
  2. Fuel Summary
  3. Inspection Submission Summary
  4. Part Warranty Opportunities Report
  5. Service Reminders Report
  6. Tire Activity Report
  7. Utilization Summary
  8. Vehicles Report
  9. Work Orders Report

This is available to all plans.

New Integrations with Driver•i by Netradyne

Driver•i by Netradyne now integrates with Fleetio to sync daily telematics and safety data directly in your account. Connecting Driver•i with Fleetio consolidates the data needed to proactively plan maintenance schedules for your vehicles, troubleshoot driver and vehicle issues remotely, and deliver safe operating conditions for your team using: 

  • Automated Meter Sync: Improve on-time service compliance and trigger service reminders with daily meter readings from Driver•i. 
  • On-Demand Fault Alerts: Access engine faults and Diagnostic Trouble Codes (DTCs) in Fleetio to remotely diagnosis issues that could cause unnecessary downtime. 
  • Live Location Updates: Automatically refresh vehicle locations in Fleetio to know the status of each vehicle in your fleet.

This integration is available on plans that offer API access: Pro (Legacy), Advanced (Legacy), Professional, and Premium plans.

Markups, Quoting, & Invoicing

Your shop can now markup, customize, and email work orders, quotes, and invoices to internal departments and third parties. 

Add Parts & Labor Markup 

New markup options added to Work Orders and Service Entries allow you to markup labor and part sub-totals as a percentage or fixed amount. You can apply markups to individual work orders or service entries, or set them as an account default.

Email Work Orders, Quotes, and Invoices 

You can send emails with an attached work order, quote, or invoice PDF to internal departments or third parties directly from a work order. Each PDF can be customized to add or exclude work order details, including custom fields.

This new functionality is available for Premium plans.
