Improved RO Notifications: Subaccounts and Role-Based Permissions

Fleetio now allows admins and owners with Marketplace enabled to manage billing statements by internal entities using Subaccounts. To enable this feature, users must first apply for a Primary Account with Corporate Billing, LLC. Once approved, additional Subaccounts can be requested, typically activated within 1–2 business days. Additionally, admins and owners can grant regular users access to manage or view Repair Order (RO) notifications. Regular users on these accounts will have access to the relevant pages and actions based on their assigned roles, ensuring appropriate permissions and streamlined collaboration for notification management.

Schedule Work Order Notifications to Multiple Team Members

While creating or editing a Work Order, you can now elect to have other team members, such as drivers or operators of that asset, notified in advance of a scheduled Work Order to help reduce late starts on repairs.

In the Work Order edit interface, there is a new checkbox in the scheduling section (or a toggle, if on mobile) to add:

  1. The Fleetio team members you want to be notified. 
  2. When the notification should go out to your team members.

Note: The system will indicate if users have their notifications turned off. The user’s existing notification settings directly reflect how they’re notified. 

This is available to all plans with access to the Work Order Calendar: Advanced (Legacy), Enterprise (Legacy), Professional, and Premium

Send Scheduled Reports using FTP, SFTP, and AWS S3

You can now upload Scheduled Reports directly to your company's network using file-sharing protocols FTP, SFTP, or an Amazon AWS S3 bucket. Managing external connections using FTP, SFTP, and AWS S3 can be setup in your Account Settings. 

With this feature enabled, you can automate scheduled delivery of your Fleetio reports in PDF or CSV format to help your team sync maintenance data, fleet costs, and vehicle statuses with other systems like ERPs, Accounting, and Dispatch software.

Emailing Scheduled Reports will remain the default option and the Upload Scheduled Reports option will only display if you have an external connection setup. 

This feature is included in Starter (Legacy), Pro (Legacy), Advanced (Legacy), Professional, and Premium Plans.

Organize, Save, and Share Equipment Views

We've added Saved Views to the Equipment Index so you can personalize and save index configurations for future use.

Saved Views allow you to control how you organize and distribute your equipment data. You now can:

  1. Save Equipment Index configurations (filters, sorting, columns) as a Personal View for future use.
  2. Share views with team members to keep everyone on the same page.
  3. Add and arrange the Standard, Personal, and Shared View tabs that are most important to you.

New Archived Filter

Alongside the new View functionality, we've changed the appearance of archived equipment in the index and added an Archived Equipment filter. This new filter lets you create a personal view that shows all active and archived equipment in one place.

New Navigation Enhancements

We've made three updates to improve your navigation experience in Fleetio:

  1. Fleetio's Global Sidebar now collapses, giving you more screen space to work with.
  2. Settings and Help & Support menu items have been added to the Global Sidebar.
  3. The profile, notification, and login settings have moved to a new Profile Menu at the top-right corner of the desktop app.

Add Custom Fields to Specific Vehicle Types

Fleetio owners and admins can now add custom fields to specific vehicle records in Fleetio using the Vehicle Type field. For example, if you wanted to identify the type of bucket installed on your bucket trucks, you could add a custom field that only applies to "Bucket" vehicle types (see image). 

Available for all plans with access to Custom Fields.

Repair Order (RO) Notifications Update 🎉

We’re excited to introduce an update to the Repair Order (RO) notifications system! Owners and administrators can now easily create custom notification policies for repair orders and assign subscribed users to specific vehicle groups directly from the system settings. This update ensures that users can efficiently manage notifications, keeping all relevant parties informed and up to date with repair updates from shops. With this enhancement, communication becomes smoother, and managing repairs across vehicle groups is more streamlined than ever.

Update Vehicle/Asset Terminology to Fit Your Fleet

You can now switch the term Vehicles to Assets in Fleetio to better represent the makeup of your fleet.

If you're an Account Admin or Owner, you can make the update by navigating to Settings > Administration > General Settings and setting the Vehicle System Label to your preferred system label.

Updating the Vehicle System Label to Assets will change the name of vehicle fields, reports, and menu items from Vehicle to Asset in Fleetio's web app only.

Available to all plans.

Saved Views are now available on the Parts Index, allowing you to personalize and save index configurations for future use. 

Control how you visualize and keep track of Parts in Fleetio by:

  1. Saving Parts configurations (filters, sorting, columns) as a Personal View for future use.
  2. Sharing views with team members to keep everyone on the same page.
  3. Adding and arranging the Standard, Personal, and Shared View tabs that are most important to you.
  4. Filtering based on the location of parts, status (out-of-stock or in-stock), and archived parts.
