New Email Helps You Stay on Track of Your Telematics Health in Fleetio

Enable the new telematics email to help manage the devices in your integration.

Fleetio's native integrations (integrations we build) automatically map devices to vehicles and assets, but it's not always a guaranteed process after the integration is up and running. If a technician switches out devices but forgets to make an update in Fleetio, you might not have the right data going to vehicles, skewing the information in reports.

With this new email, you don't have to go searching for information on how your integration is performing. Updates go directly to your inbox so you can catch misaligned devices early. Enable it in the Integrations section of your notification settings.

Fleetio adds VMRS coding to amplify maintenance categorization

We're excited to announce that Fleetio has introduced VMRS (Vehicle Maintenance Reporting Standards) coding to strengthen and standardize the way you categorize maintenance data. We have added five VMRS code keys to unlock deep insight into trends within your maintenance data, in an easily accessible way for any fleet.

You can now use VMRS codes to categorize your Work Orders and Service Entries on both web and Fleetio Go. Fleetio has preloaded VMRS categorization to all Standard Service Tasks, and now allows you to set default categorization for your Custom Service Tasks as well. Setting default VMRS codes for your Service Tasks will automatically apply that categorization to Work Order and Service Entry line items when used. You can also categorize your line items manually on the fly.

To ensure you can gain insight from categorizing your maintenance data, we’ve introduced two brand-new reports. The Line Item Summary by Vehicle System Report and Repair Priority Class Summary Report. These reports will help you identify the most costly and frequently repaired systems within your assets, as well as how often your services are scheduled vs. non-scheduled.

Let’s take a look at exactly how these VMRS categorization codes break down:

  • Reason for Repair (Code Key 14): Reason for Repair describes the reasons why work was performed on an asset - such as Preventive Maintenance, a Breakdown, or an Accident. Apply a Reason for Repair code to Work Order and Service Entry line items for a more granular understanding of your maintenance spend.
  • Repair Priority Class (Code Key 16): Repair Priority Class indicates whether a service was Scheduled, Non-Scheduled, or an Emergency repair. Apply a Repair Priority Class to your Work Orders and Service Entries to better understand what is driving costly non-scheduled repairs.
  • System (Code Key 31): System codes identify the specific system involved in a repair. For example, the Brake System.
  • Assembly (Code Key 32): Assembly codes further define System codes for another level of categorization. For example, Front Brakes.
  • Component (Code Key 33): Component codes further define Assembly codes down to the individual part level. For example, the Front Brake Rotor.

With VMRS data categorization codes, you can now easily categorize and track your vehicle maintenance and repair data. This will help you stay organized and better track your fleet's maintenance needs.

New ways to manage GPS devices in Fleetio

GPS devices can enhance the data in your account, providing more frequent meter readings, location alerts that could signal potential fuel theft, and automatic issue creation from faults and DTCs.

However, devices must be connected to vehicles in Fleetio to get the benefit. Over the past month, we've released several improvements to make it easier to maintain the devices you have mapped in your account, such as:

  1. New role permissions for Regular Users to map and un-map devices. This is disabled by default but can be enabled in Role Settings.
  2. Map/un-map devices when adding or editing a vehicle record. You can also now map or un-map a device from the integrations section of the Vehicle Overview.
  3. New weekly digest email that will summarize your device health and telematics usage in Fleetio. Enable this email in your notification settings (currently for Geotab customers only).
  4. A new circle icon is now displayed on the More Actions menu of the Vehicle and Faults lists if you have unmapped devices that require your attention.

Fleetio Go App Updates (August, September 2022)

Enhancements

  • @Mentioning: Collaboration in Fleetio just got better. You can now tag team members to ensure that they receive your comment.

Bug Fixes

With your help, we were able to identify and resolve the following Fleetio Go bugs quickly:

  • [iOS] During an inspection, some users reported not being able to select "Previous" to go back to the previous item. We fixed it so you can revisit previous items to your heart's content.
  • [Android] Fixed an issue where adding service tasks to a Service Entry caused errors.
  • [iOS] You could make a custom field checkbox for a Work Order, but when you tried to use it on a new form, it ended up just being for show. Now you can really use it.

Parts Watching and Notifications

You can now watch Parts at a particular location the same way you are able to watch Vehicles, Reminders, Service Entries, and more. Fleetio notifies Parts watchers whenever inventory quantities change or team members leave comments about particular parts.

Personalize Your Exports

We've updated our modules to provide more flexible data exports. You no longer need to export all columns from a data set. Instead, you now have the option to only export the columns you've included in your personalized module index.

When you go to export data from a module, you now choose from two CSV export options:

  1. Visible Columns - Exports only the columns that are currently on the index page in their current order. You can personalize your index by clicking "Manage Columns"
  2. All Columns - Exports all columns related to the module without keeping current visible order.

Legacy Export

The legacy export option for each module is still temporarily available until September 15th, 2022. Like the "All Columns" export, the "Legacy" export includes all columns in the module's data set. The only notable change is the order of those columns.
