Maintenance Shop Integration Tune Up

We're starting the week with a couple of notable releases for the Maintenance Shop Integration (MSI).

Configure permissions for Regular Users to access the Shop Integration Overview

We added a Shop Integration section to Roles, where you can manage which portions of the overview you want a user to see. This could be helpful if your accounting team is in Fleetio and needs access to statements.

Save your billing application progress

If you start filling out an MSI application and leave to complete another action in Fleetio, you won't lose your application progress. Curious about the application process or how to start using MSI?

Purchase Order Tune Up

After looking under the hood and checking a few things, we made some improvements to Purchase Orders.

With this update, you can:

  • Add multiple line items before choosing a part. Select the wrong part? Replace it with the right one without having to delete anything and add a new line item.
  • Create a copy of a Purchase Order. This will open a draft copy so you can edit smaller details, such as quantity, without having to create a whole new PO with the same vendor and location information.
  • View Purchase Order information at-a-glance. We refreshed the PO screen and separated the PO details from line items.

Pro tip: Hover over a line item to view its summary. For parts, that includes total quantity and manufacturer.

Manage Key Assignments and Access With the Keycafe Integration

Keycafe is a key management system designed for fleet vehicle access control.  Using their modular electronic locker system, managers can grant or revoke key access at any time and get updates when keys are late or not picked up on time.

With this new integration, when an operator is assigned a vehicle in Fleetio, key permissions can automatically create in Keycafe and access instructions are sent to the driver.

Because a webhook is needed for setup, this integration is only available to those with a Fleetio Advanced Plan.

Issue Resolution Time Gets More Precise With "Time to Resolve"

This release expands Issue resolution to include time, in addition to days. Historically, Fleetio has only shown Issue resolution in days, so it was harder to track exact resolution cycles.

Now, you can add a timestamp for Issues, and Fleetio will track resolution down to the minute for better reporting accuracy.

Time to Resolve can be a meaningful resolution metric to improve resolution times.

Save Time and See More At-A-Glance With the Enhanced Work Order Experience

We used what made our classic Work Order form great to inspire us to build an enhanced Work Order experience. We've introduced quick-select time options, more visibility into reminder information, and improvements to part quantities, among other things.

Check out the video below for a summary of the recent enhancements.



What's Changed

Added Date/Time inputs - Select a rounded time from the new Issue Time drop-down list. We also added common time selections for labor hours to make it faster to log work.


Added Service Reminder information to Service Tasks - When selecting line items, we're displaying more information for Service Tasks so it's easier to view and select tasks with "Due Soon" or "Overdue" reminders. If the task is also associated with any other open Work Orders, you can hover over the Work Order number to view a summary.


In addition to saving you time when you add a Work Order, these enhancements are building blocks for new features on the horizon. (Did someone say maintenance categorization?)

Edit Custom Roles From Your Account Settings

The Custom Roles tab in Account Settings has been refreshed with the same look and feel as the Standard Roles tab. Now, you can edit a user's custom role while staying within Account Settings, as well as assign standard roles or convert a custom role to a standard one.

Vendor Watching and Notifications

You can now watch Vendor records the same way you are able to watch Vehicles, reminders, Service Entries, and more. Fleetio notifies Vendor watchers whenever team members leave comments, including recommendations, notes, and questions.

Manage Auto Approval Adjustments Through Fleetio

You can now manage Auto Integrate's automatic approval thresholds in Fleetio. Once setup, all Repair Order line items that cost less than your designated limit will be automatically approved.

Go to Shop Integration > Notifications & Auto-Approvals to get started.

Get Spiffy, a fully mobile auto care provider has joined Fleetio’s Maintenance Shop Integration (MSI). Get Spiffy specializes in vehicle cleaning, detailing, tire replacement services, and preventative services like tire rotations and oil changes.  

This exciting new addition to the 30,000+ strong MSI provider list is operational in 23 US states.

Watcher Management Expanded

With this update, bulk Watching management, first added to the Service Reminder index, is now available across five new indexes:

  1. Vehicles
  2. Equipment
  3. Issues
  4. Service History
  5. Work Orders

You can observe, manage, and execute bulk changes to Watchers without leaving the index.
